Notify users of their own activity

By default, ShareFile account settings prevent email notifications from being sent to any user regarding their own activity, even if they have Upload Alerts or Download Alerts enabled on a folder.

This setting can be changed so that users can receive notifications of their own uploads and downloads. Some accounts choose to make this change so that users can keep notifications as receipts of their own activity. This setting can be changed in the Advanced Preferences menu.

When you set upload or download notifications for particular users on folders, by default, the users will receive notifications about these uploads/downloads in real-time. Users can change this default behavior by clicking the Personal Settings link in their account. However, if you want to set a default value for this setting for all users on your account, you may do so using this setting.

Note:

Changing this setting does not affect existing users in the system (it is only applied to newly-created users). You can update this setting for individual users in the at their individual profile page found under People. In Real-Time is the default value.

Users can receive email notifications in the following languages: English, German, Spanish, French, Dutch, Chinese, Russian, Japanese, Korean, Portuguese.

Share a File and Request a File Notifications

Messages sent from the ShareFile web app include two settings:

  • Email me when the file has been accessed
  • Email me when the file has been uploaded.

When the user has uploaded or downloaded via the link, our system will send the notification. These settings are enabled by default, unless otherwise specified when composing the message.

Report a problem from the web

To report a problem from the web app, you must:

1. Log in to your ShareConnect account.

2. Under your user name, click the Report a Problem menu option.

3. Select a category and enter a description of your problem.

  • Note: Logs from your remote computer will be automatically included with your issue.

4. Click Submit.


Report a problem from the iOS app

To report a problem from your iOS app, you must:

1. Tap on the Settings icon, and choose the Report a Problem menu option.

2. Enter a description of your problem. You can also upload a photo that describes your issue by tapping the icon.

3. Tap Send.


Report a problem from the Android app

To report a problem from you Android app, you must:

1.On the Settings screen, choose the Report a Problem menu option.

2. Enter a description of your problem. You can also upload a photo that best describes your issue by tapping the icon.

3. Tap Send.

ShareConnect – Add or Create Files

ShareConnect’s iOS users can now upload media files and create Microsoft documents (Word, Excel and PowerPoint) from their iOS device to be saved on their remote host computer.

To begin uploading or adding documents to your host computer, you must navigate to any folder on your remote computer from the File Explorer app. Tapping the delimiter will open the Add and Create menu options on your iOS device.

Upload Media Files

Currently ShareConnect’s iOS users can only upload media files like photos or videos from their iOS device to their remote computer.

To upload files, you must:

1. Tap the Photos Backup button in the app bar on the bottom.

2. Tap the Upload Photos button to access your photos and select them for upload.

  1. a. If you select Take a Photo or Video, the camera feature on your iOS device will be made active. Tap on Use Photo to save the photo to your remote computer.
  2. b. If you select Photo Library, a list of albums present on your iOS device is opened. Select the photo you want to upload and tap Upload to save the photo on your remote computer.

3. Tap the Upload button to upload your photos.

Create Microsoft Documents

Currently ShareConnect’s iOS users can create Microsoft Word, Excel, and PowerPoint documents from their iOS device to store in their remote computer.

To create new documents, you must:

1. Tap the New Filebutton in the app bar on the bottom.

2. Choose the type of file you wish to create.

3. Once you create the document and you save it, you will be asked to give it a name to begin uploading the document to your remote computer.

Enable Auto-Login – Disable this feature if you want users to sign into their account upon accessing the ShareFile Desktop app.

Default Share Settings – These are the default settings used when Sharing files. These are settings used when using the Copy a Link feature unless you change them individually prior to sending.

Review Notification History

A user with the following permissions can review email messages sent from the ShareFile system.

Access Notification History by navigating Admin Settings > Company Account Info > Notification History.

  • This menu requires the View Notification History Employee permission

Share a File and Request a File Notifications

Messages sent from the ShareFile web app include two settings:

  • Email me when the file has been accessed
  • Email me when the file has been uploaded.

When the user has uploaded or downloaded via the link, our system will send the notification. These settings are enabled by default, unless otherwise specified when composing the message.

Root-level folders and subfolders:

Users that have access to folders can also receive email notifications when files are uploaded and downloaded to the account. Users with access to a folder can subscribe to email notifications using the checkbox at the bottom of the folder contents. Applying to subfolders is not available when subscribing to notifications using the checkboxes in this way.

Admin users on a folder can set their own upload and download notifications via the Folder Permissions menu toward the bottom of the page. Using this option, you can use the checkbox shown below to apply your notification settings to any subfolders currently stored within the folder.

Notification Frequency (Consolidated Notifications)

Users can set how frequently they receive email notifications from our system in the Personal Settings menu. Available options include:

  1. Real-time (Users receive a notification for each successful upload or download)
  2. Every 15 minutes
  3. Every hour
  4. Twice a day
  5. Once a day.

Once changes are made to notification frequency, the first email notification will be triggered by any upload or download that takes place in a folder where the user has alerts enabled. Following the initial notification, consolidated notifications (which contain upload and download activity in a compiled format) will be sent out in set time intervals determined by the user’s selection.

Admin users can set an account-wide default at Admin Settings > Advanced Preferences > Email Settings.

Individual users can set their own individual notification preferences in the Personal Settings menu.

Localized Notifications

Users can configure the default language of emails sent by the ShareFile system.

Admin users can set the account-wide default language in Admin Settings > Advanced Preferences > Email Settings. Under Email and Notifications, use the drop-down menu to adjust the default notification language.

ShareFile users on an account can set their own default notification language on a user-by-user basis. This can be adjusted in the Personal Settings menu.The chosen setting will override the account-wide default for that specific user.


Bounce Notifications

The ShareFile system can send you an email if we receive a bounce back from any email you send.

You can enable Bounce Back Emails for your account in the Personal Settings menu.

If this setting is not present in your Email Notifications menu, please contact ShareFile Customer Care and ask that it be enabled for your account (please include your account subdomain and the email address associated with your account).

Answer:

When Screen is Locked

Option1: Click the notification, unlock the phone and you will be in the SSO APP, then hit Approve – then hit the home button to close the SSO APP.

Option2: Users need to either force touch (3D touch) or slide the notification to the left ,more and approve or long press and approve

When Screen is Unlocked

Option-1: Drag Down on the notification and Hit Approve.

Option-2: Click the notification, you will be in the SSO APP, then hit Approve – then hit the home button to close the SSO APP.

Note: The app might prompt for Touch-ID/Face-ID/Passcode as an extra factor in which case the app is always launched into foreground.
